What you tell us about your pond
An enquiry usually includes your name, an email address and a few lines about the pond: its rough size, whether there are fish, how long since it was last cleaned and what you have noticed lately. Some people add photographs or the address of the garden so we can plan travel. We ask for nothing more until a visit is agreed.
Readings and condition notes
A seasonal assessment records clarity, pH, temperature and sediment depth, with photographs of the basin and filter. These condition notes are given to you after the visit, and we keep a copy so a later sediment withdrawal or filtration review can be compared with the first reading. Because they are filed against your name and address, we treat them as personal information under Japan's Act on the Protection of Personal Information.
About your fish
If your pond holds koi or other fish, we note their number and approximate size so the aerated holding tank is large enough during sediment work. This note is used only to plan that visit and is kept with your condition notes.
Who sees it
- The people at Silt Mesh Vault who plan and carry out your visit.
- Our email and hosting providers, under confidentiality terms.
- Nobody else. We do not pass owner details to pump makers or filter suppliers, and we never sell personal information.
How long we keep it, and your requests
Enquiries that do not lead to a visit are deleted after twelve months. Condition notes and photographs are kept for four years, long enough to cover a good part of the one-to-eight-year life of the filtration systems we review. We reply within two weeks; you may also contact the Personal Information Protection Commission of Japan.
Photographs of your garden
Photographs taken during a visit stay with your condition notes. We never publish them on this website or elsewhere without your written permission, and we avoid photographing neighbouring gardens or people.
Younger enquirers
Visits are arranged with adults responsible for the pond. If someone under eighteen contacts us, we ask a parent or guardian to make the booking.
Mailing lists
We do not run a newsletter and will not add your address to any mailing list.
